CivicRecordsOnline is operated by Paldam LLC. We provide records request workflow software for public agencies, including public request portals, request status pages, released-record search, staff workflows, and related communications.
Information We Process
Depending on how you use the service, we may process:
- Contact details such as name, email address, phone number, and organization.
- Records request details, uploaded files, messages, and released documents.
- Staff account information, roles, audit events, and workflow activity.
- Technical information such as IP address, browser details, timestamps, logs, and security events.
- Waitlist information, such as an email address and signup source, if you join the launch waitlist.
How We Use Information
We use information to operate the service, route and track records requests, send requester and staff notifications, secure the platform, troubleshoot issues, support agencies, improve product reliability, and comply with legal or contractual obligations.
We do not sell requester, staff, agency, or waitlist information.
Agency Records
Agencies using CivicRecordsOnline control their records request data and decide how public-records laws, retention schedules, exemptions, redactions, and disclosure rules apply. Public records submitted through an agency portal may be subject to that agency's public-records obligations.
Service Providers
We use service providers for hosting, data storage, email delivery, monitoring, payment and billing support, security, and similar operational needs. These providers may process information only as needed to support CivicRecordsOnline.
Security and Retention
We use administrative, technical, and organizational safeguards designed to protect the service. Retention of agency records depends on the agency's configuration, legal requirements, and export or deletion requests.
