Service Overview

CivicRecordsOnline is operated by Paldam LLC and provides public-records intake, request tracking, requester communications, document handling, and related agency workflows. Public portal pages are made available for agencies that use the service.

Public Portal Use

Public users may submit records requests, search released records, and use request status links made available by participating agencies. You are responsible for providing accurate contact information and request details unless the agency permits anonymous submissions.

Do not submit malware, unlawful content, abusive material, spam, or information unrelated to a records request. We may restrict access when needed to protect service availability, platform security, tenant data, or other users.

Agency Responsibilities

Agencies remain responsible for interpreting and applying their public-records laws, deadlines, retention rules, exemptions, fees, redactions, and release decisions. CivicRecordsOnline provides workflow software and does not provide legal advice.

Accounts and Security

Staff users must keep login credentials confidential and use access only for authorized agency work. Agencies are responsible for assigning appropriate roles, removing users who no longer need access, and reviewing activity when required by local policy.

Availability and Changes

We work to keep the service available and reliable, but access may be interrupted for maintenance, security work, network issues, third-party service outages, or events outside our control. We may update these terms as the product and legal requirements evolve.
